Bulletin for December 10, 2008

IMPORTANT INFORMATION FROM THE PRINT SHOP REGARDING EXAMS
Exam time is upon us once again. The Print Shop will offer extended hours Wednesday, December 10 – Tuesday, December 16 from 7 a.m. – 5 p.m., for dropping off and picking up exams. Exams while you wait will be offered Monday, December 15 – Friday, December 19 from 7:30 a.m. to 4:30 p.m. Please help us serve you better by bringing materials to the Print Shop as soon as possible to allow ample time to complete your exams. If you find yourself in a dilemma, please ask! Our staff will make every effort to help meet your needs.

FACULTY PLEASE NOTE AS YOU PLAN INSTRUCTIONAL MATERIALS FOR SPRING SEMESTER

The Spring 2009 semester begins on January 14. The large volume of duplication requests for course documents and bookstore items make this a busy time in the Print Shop. Our best service to you occurs when we don’t have to rush to get work done. Please help us meet your needs by planning ahead and bringing you instructional materials for spring semester to the print shop as early as possible to insure you will have them on time. Items to be placed in the bookstore that have a large number of pages and need to be bound should be brought to the Print Shop by Tuesday, December 23 to insure they are on the shelf and ready for students to pick up.

STUDENT ASSOCIATION MESSAGE

Attached to this issue of the Bulletin is a message from the S.A.

REQUIREMENT TO USE RECYCLED PAPER
Executive Order #4 of the Governor requires that effective July 1, 2008, all Copy paper, janitorial paper and other paper supplies (including envelopes) purchased by each State agency must be composed of 100% post-consumer recycled content to the maximum extent possible. In addition, all State agency publications shall be printed on 100% recycled content paper. SUNY Oneonta has implemented this requirement in its ordering and the Purchasing Office will be reviewing all paper and printing orders for compliance. There are provisions in the Order for occasions when recycled items do not meet form, function, or utility, and written justification requests for such situations will be reviewed individually by the campus for possible exemption. For questions regarding this new requirement, please contact Cindy Meres at x3388 or Denise Straut at x2583.

CHANGE IN PERSONAL CAR MILEAGE REIMBURSEMENT

Effective January 1, 2009, the personal car mileage reimbursement rate will be 55 cents per mile. This rate is in effect for all business miles driven beginning January 1, 2009. Reminder: Please check with hotels to be sure that the State (government) rate is the lowest rate available. Feel free to contact Terri Thomas at x3530 or Becca O’Donnell at x2555 for any travel related questions.

INVITATION TO RETIREMENT RECEPTION FOR DAVID ADIKES
You are cordially invited to a reception for David Adikes who will be retiring from the College this month. The reception will be held on Tuesday, December 16 from 3–4 p.m. in the President’s Conference Room, 341 Netzer. Please join us to wish Dave well on his special occasion.

NOVEMBER 10, 2008 UUP LABOR-MANAGEMENT MEETING
The second of three single-issue UUP Labor Management meetings focused on professional employee issues and concerns. UUP presented a summary of issues and concerns that have been brought to them including a perception by some professional employees that the work they have done to contribute to the College’s Highly Selective status has not been appropriately valued or recognized and that there appear to be inconsistencies in how certain employment activities are handled. Examples given were the inconsistency of if, and how, supervisors allow professional employees to accrue comp time as defined by the Contract and the ability for professionals to apply for discretionary increases in a manner similar to the faculty. The group also discussed successful past joint Labor/Management projects including the need for timely completion of performance programs and evaluations and the revision of the application for promotion for professional employees. In addition, the group discussed future initiatives such as a series of workshops for supervisors to assist them in interpreting and administering the Contract. Attending the meeting were: Nancy Kleniewski (College President); Bill Simons (UUP Oneonta President), Lisa Wenck (Associate Vice President for Employee Services), and Norm Payne (UUP Oneonta Vice President for Professionals).

If you have suggestions in regards to a health and wellness topic that you would like to see covered, please do not hesitate to contact me at garnerse@oneonta.edu. PERSONALLY IDENTIFIABLE INFORMATION MUST BE SHREDDED

This is a reminder to all faculty and staff from the Registrar’s Office and the Office of Human Resources. Any printed material that contains either student or employee personally identifiable information must be shredded. It cannot be thrown into the garbage or with the recyclables. Employees who do not have access to departmental shredders can use the shredder that is located in the Print Shop, in the basement of the Administration Building. Questions regarding student information should be referred to Maureen P. Artale, College Registrar, at x3216. Questions regarding employee information should be referred to the Office of Human Resources at x2509.

STUDENTS HANDLING EXAMS

Students must not be involved in the preparation, duplication, transportation or distribution of examinations. In addition, students including undergraduate teaching assistants, must not be permitted to grade, or in any manner process tests or papers. This includes using the Scan Tron machines to grade tests or quizzes and distributing graded materials to other students. If you have questions regarding this, please contact Maureen P. Artale, College Registrar, at x3216.

REMINDER ON POSTING GRADES

Federal law (FERPA) prohibits posting grades using student names and/or identification numbers. However, it is permissible to post by code name or number (not the Oneonta I.D. number, social security number, or any part thereof) agreed to by the student and the faculty member. Wherever you post grades, please scramble the names on the roster before assigning codes so that the list does not reflect an alphabetical listing of your roster. It is also against FERPA regulations to leave students’ graded work in a general pick up area. Graded course work must be returned individually to students. Please be aware that under no circumstances may a listing of student names and ID numbers, or any part thereof, be posted for any reason. Violations of this law can result in termination of Federal funding to the college. Questions regarding the privacy of student records should be directed to Maureen P. Artale, College Registrar at x3216 or via e-mail at artalemp@oneonta.edu.

BOTTLE/CAN FUNDRAISER FOR THE SORBERA FAMILY CONTINUES

The Health Center is continuing a bottle/can fundraiser for the family of Sue Sorbera. As many of you already know, Sue’s daughter, Meghan, recently passed away and Sue had just returned to work after having back surgery in May. Sue has exhausted all of her accruals so we are going to do what we can to help her and her family at this difficult time. Your bottles/cans may be dropped off at the Oneonta Redemption Center, 459 Chestnut Street. Just tell them it is for the Sorbera Family. Thank you all in advance for your generosity.
Health Center Staff

INFORMATION ON SUBMITTING PAPERS TO AN ANTI-PLAGIARISM SERVICE
If you are using an anti-plagiarism service such as www.turnitin.com, you must remove the student’s name and assign a code name to each paper you submit. The code name must not be the student’s ID number or any part there of and should only be known to you. Using the student’s name or ID number is a violation of the students FERPA rights because you are releasing personally identifiable information without his/her written consent. If you have any questions on FERPA please contact Maureen P. Artale, College Registrar at x3216 or via e-mail at artalemp@oneonta.edu.
