It takes the guessing game out of which vendor to choose. We now have a universal form to be filled out for packages or any other item that needs to be shipped with tracking. What the Mailroom needs from you:
1 – Package up your shipment. The mailroom has boxes and packaging materials available for your use. You are welcome to come over to the mailroom to prepare your shipment or you may request packaging supplies to be delivered to your building. You may write/print off your own labels for your shipment and put it directly on the package. Remember, if you put your shipment in a box specific to a carrier, we will have to use that carrier.
2 – Fill out the PACKAGE SHIPPING DOCUMENT and attach it to your shipment. You can contact the Mailroom to have forms sent to you or you can complete a fillable form on our website and print it. Attach the form to your package. If the address is a PO Box, it will have to be shipped via USPS, so if possible, please also provide a physical address. Please double check your shipping address. There is an address correction charge from UPS for incorrect addresses.
3 – Leave the package out for the Mailroom to pick up. Please have your package to your building mailroom by 10 a.m. If you are unable to have your package ready by the time morning mail is picked up in your building, please contact the campus mailroom staff as special arrangements for pick-up may be necessary. Packages that need to be processed and sent out the same day need to be to the Campus Mailroom by 2:15pm.
Frequently Asked Questions:
1 – May we still use the old forms for the individual carriers? Yes, you may still use the forms for the individual carriers, however, we will not maintain a supply in the department mailrooms. If you would like some for your office, please contact the mailroom. Please keep in mind that the paper UPS Ground labels have a $5 charge added on to them. UPS is trying to get away from the paper labels.
2 – Is the UPS box outside of Netzer service area still active? Yes, UPS picks up from that box Monday through Friday at 5 p.m., except on Holidays recognized by UPS. You can fit boxes up to 16” x 13” x 3” in the slot. Packages that are valued at higher than $500 cannot go in this drop box. If you are charging a shipment back to a department, please make sure you send a copy of the label to the mailroom so they can reconcile the bill when it arrives.
3 – I have a package that needs to go out today but the mailroom is already closed? Hopefully you have a paper label to fill out for a specific carrier. Your shipment can be dropped off at the UPS drop box outside of Netzer (only if UPS shipment), The Shipping Room on Chestnut Street, The UPS Store or Office Max. Please call ahead to wherever you plan on dropping off to find out their cut off time for packages going out that day. Make sure the SUNY Oneonta account number is on the label, contact the Mailroom for that information. We have contracts with all carriers and have much better rates than what you can get elsewhere. If a department is paying for the shipment, please make sure you send a copy of the label to the mailroom to reconcile the bill when it arrives.
4 – Can we use this process for international shipments? Yes, you can fill out the PACKAGE SHIPPING DOCUMENT for international shipments. You must provide the Description of Contents, in detail, and the Recipient’s phone number. The mailroom staff will contact you if more information is necessary.
