Reserving Facilities On Campus

The Events Council is composed of the major stakeholders who schedule events and the building coordinators at the university. Its purpose is to coordinate and improve communication about campus events and to provide facility guidance to the building coordinators. The group meets approximately three times per year to share information, plan and discuss policies and procedures. The Events Council seeks to improve methods for publicizing university events and managing the facilities within each building.

The Events Calendar is designed to present a searchable database of events held on the SUNY Oneonta Campus. If the Events Calendar does not show an event for a particular location and date, it does not necessarily mean that the space is available for scheduling an event on that date.

Priority for reserving space on campus is given to academic classes followed by a first come first serve basis.

If you are planning an event and would like to hold it on campus, you need to:

  1. Contact the person in charge of reservations for the space to be used for the event.

  2. The administrator/reservationist will assist in scheduling the event for all on-campus groups. Event organizers should be prepared to provide information such as the identity and size of the group attending the event; the date(s), nature and purpose of the event; the sponsor of the event; the preferred set-up; audio/video equipment needed; and the funding source for any registration fees.
  3. Non-campus groups may use campus facilities for non-commercial purposes. A Permit Application Form must be completed with the assistance of the administrator/reservationist of the facility being requested. Event organizers must also secure a qualifying permit and insurance and pay the appropriate fees. The Morris Conference Center issues permits and coordinates applicable billing, collection, and provides a final review of all permits prior to their approval by the Controller in Finance and Administration.
  4. Oneonta Auxiliary Services is exempt from Qualifying Permits because its separate contract with SUNY provides for the use of university space. However, any outside organization using university space through OAS must have a Qualifying Permit. Events such as luncheons or dinner meetings through OAS require a permit.
