Vehicle Usage

  1. A travel itinerary and reason for the trip must be attached to the form along with directions.
  2. The form should be turned in at the Student Association office 10 business days prior to planned travel date if the trip will be no more than 400 miles one-way or 800 miles round-trip.  Please submit the form at least 21 business days prior to the trip if traveling beyond 400 miles one-way or 800 miles round trip. Requests not turned in on time will be processed if possible but there are no guarantees.
    ***A business day is defined as a day when classes are in session
  3. The president and the advisor of the organization must sign the form.
  4. All drivers must complete the form. When signing the form, the driver is stating he or she is going on the trip and will be sharing the driving responsibilities. The VP of Internal Services MAY waive the number of drivers requirement policy for trips less than 40 miles, or for trips to the Albany or Binghamton airports.
  5. All drivers must have prior approval to drive. Each driver will come to the Student Association office with their driver’s license, a completed license approval form and have their license copied.
  6. One GPS unit can be signed out per club per trip (first come first serve). GPS units must be signed out by the contact person submitted on the Vehicle Request Form. The contact person who has signed out the GPS will assume the ultimate responsibility of the GPS unit. When not in use the GPS unit must be shut off and stored in the glove compartment of the vehicle. Please do not remove the GPS unit from the vehicle until it is returned to the SA office. If there is a theft of the GPS unit, a police report must be filed at the time of incident, and the SA Vice President of Internal Services must be notified immediately. All issues including theft, damage, and misplacement will be handled by a full investigation of the Central Affairs Committee.
  7. Upon completion of your trip, the vehicle will be placed in the parking area where you picked it up.
  8. Your travel packet must be returned to the Student Association office no later than Noon of the day after your trip. In the event of the Student Association office being closed or after hours, please drop off your travel packet in the drop box outside of the Student Association office.
  9. Included in the returned travel packet will be the key to the vehicle, the gas wallet with credit card, all gas receipts, the completed inventory log and the completed vehicle form.
  10. An excessive mileage fee will be assessed to clubs who use an SA vehicle for trips over 400 miles one-way or 800 miles round trip.  The fee is calculated at half of the New York State mileage rate per mile - this would be $0.25 for this year.
