Important College Policies
for Student Groups, Clubs, Chapters, & Organizations
This policy is intended to provide direction for student individual
and collective behavior as they participate in student groups. We
believe that the expectations listed in this policy are appropriate
to all student groups, clubs, chapters, and organizations. The
various organizations should recognize that they contribute significantly
to the program of the College. These activities should be in
harmony with the College’s mission as well as its policies.
Definitions
Student Groups: a number of persons who affiliate for a specific
purpose.
Recognized Student Clubs & Organizations: a number of persons
who have complied with the formal requirements for Student
Association recognition.
Student Chapters: a student group which is a fraternity or
sorority.
College: means the State University of New York College at
Oneonta, and collectively, those persons responsible for its control
and operation.
The College encourages student groups to carry sufficient liability
insurance to cover group members in activities or events which are part
of affiliation with or initiation into the group.
Student groups who wish to withdraw from affiliation with the College
may do so in writing to the President of the Student Association.
Conduct of Student Groups
a) Members of student groups, individually and collectively, must abide
by the Code of Student Rights, Responsibilities and
Conduct; State, Federal and local law; and the policies of the College.
b) No group, club, chapter, or organization shall partake in or cause
to occur any activity which disrupts the educational or living environments
on campus, including but not limited to, classrooms, library, laboratories,
residence halls, or the College Union.
c) Student groups are required to abide by the tenets of the University
Board of Trustees Policy prohibiting discrimination by sex, race, religion,
national origin or sexual orientation. The College is an educational
community where diversity is welcome and openness to diversity is encouraged
for all students. Student chapters may affiliate as a single sex organization
as appropriate
to their charter/constitution and federal or state laws.
d) Students, individually and collectively, are encouraged to respect
the property and persons of members of the communities in which they
live or gather in groups, whether those communities be municipalities
or other colleges. Violation of a person’s rights and/or property in
off-campus locations may subject individual students to arrest and prosecution
within the municipal legal systems. Violations of a person’s rights
and/or property in off-campus locations during student group sponsored
events may subject the student group to a withdrawal of on-campus privileges
and /or referral to the College Judicial System.
Use of the College/University Name
No student or student group shall indicate that he/she has a relationship
with the College or the State University of New York beyond that of
his/her officially enrolled status. Student groups and those student
groups which are recognized student organizations of the Student Association
may indicate on their letterhead that their group is located at SUNY
Oneonta. In no way shall letterheads or correspondence imply that a
student group or individual has the authority to act in the name of
the College.
Use of Facilities
Space for meetings and other organizational events must be reserved
at least one week in advance with the reservations secretary at the
Hunt Union Information Desk. An organization officer must complete a
College Facilities Reservation Form for each event. Specific meeting/assembly
spaces will be reserved on a first come/ first served basis. Student
Clubs and Groups are responsible for any damage to facilities or for
lost or stolen equipment. Student Clubs and Groups must insure that
room capacity is not compromised. The College reserves the right to
assign specific space on the basis of need, such as the size of the
group or the nature of the event.
Posting & Advertising
Announcements, letters, bulletins, posters, etc., promoting or describing
an event, meeting, program, etc., must clearly indicate the sponsoring
group/organization and phone number or e-mail address. Promotions for
off-campus events must clearly indicate the sponsoring group and phone
number or e-mail address, and indicate that the event is not sponsored
by the College. Items are to be posted only on general-use bulletin
boards. Posting on bulletin boards that are reserved for departments,
offices, or organizations requires the permission of that group. Guidelines

Prohibited activities include but are not limited to: posting on doors,
windows and in elevators; promotion of events that include alcohol;
placing leaflets/flyers on vehicles; chalking of buildings, sidewalks,
or roadways.
Selling, Fund Raising & Commercial Activity
Revenue generating activities by outside interests within the College
Union are strictly prohibited under the guidelines for commercial activities
established by the College. However, under certain conditions registered
student groups may Student Association sell commercial items, do fund
raising and sponsor services in return for funds. All revenue generated
must be used for the betterment of the student group’s program. An individual
may not receive personal gain.
No fund raising activities are permitted on a door to door basis in
College Residence Halls or other buildings. Off campus fund raising
events require completion of the "SUNY Oneonta Off Campus Event
Contract."
Commercial Vendors offering services must donate funds to the sponsoring
student group. Credit card solicitation is an example of commercial
vending and has special limitations including distribution of college
credit card information.
All net income shall be used for the support of programs and activities
of the student group. An individual of the sponsoring group may not
receive personal gain.
