Definitions
ALLOWANCE
An allowance is a maximum a traveler may claim to cover expenses. It is not a reimbursement for actual costs incurred.
OFFICIAL STATION
The official station of an employee is the location where the individual is assigned. Such designation should be in the best interest of the State and not for the convenience of the employee.
In most cases the official station is "SUNY Oneonta". The official station is used to determine allowable travel expense reimbursement.
OVERNIGHT STATUS
An employee is in "overnight travel status" only on those days where the employee stays overnight at the travel destination and does not return home or to the official station.
PER DIEM
A per diem is an allowance which includes a dinner, overnight lodging, and breakfast. Applicable taxes may be added to the lodging per diem.
PROXIMITY TRAVEL
This term refers to travel by an employee when the distance of travel is less than 35 miles from his or her home or official station. In this case, the employee is not considered to be in travel status.
TRAVEL STATUS
An employee is in travel status when engaged in official business at a distance of more than 35 miles from the designated official station or place of residence. Employees must be in travel status to be eligible for meals and lodging. When an employee is in travel status for less than three hours, meals and/or lodging are not allowed.
